Mandatory On-Line Player and Adult Leader Registration for Washington Archdiocesan CYO Sports
1. ON-LINE REGISTRATION IS MANDATORY: Registration for all Archdiocesan CYO sports (i.e., Fall Soccer (Grades 1-8); Winter Basketball (Grades 3-8/High School); Spring Baseball/Softball (Grades 3-8)/Spring Soccer (Grades 1-2)/Track and Field (Grades 1-8)) is handled through an on-line registration process that can be found at www.washcyosignup.com. This means that if a child does not have an on-line registration account created by using the online system, he/she cannot be assigned to a St. Jane CYO team roster. It thus is important that parents/guardians complete the online registration process initially and that they update that registration information at least annually, in accordance with the instructions under item 7.a below.
IMPORTANT NOTE REGARDING INDIVIDUAL ON-LINE REGISTRATION ACCOUNTS FOR EACH CHILD: Each child must have his/her own individual account and that account must be accessed using his/her unique username and password. Inputting the information for one child into the account assigned to another child has the effect of overwriting the information for the child to whom the account was initially assigned, making him/her unavailable for roster assignments.
Completing the On-Line Registration Process is Only the First Step in Registering a Child: Completing the on-line registration process only makes a child available for placement on St. Jane CYO team rosters. To register for a particular sport, you need to provide the St. Jane CYO with an on-line registration form and/or the appropriate fee payment, as outlined in item 5 below.
CYO ADULT LEADERS (e.g., coaches) must register on-line to access and print rosters for their teams and also must re-enter the system annually to accept the Coach's Ethics Code. See Item 7.b below for instructions regarding online registration. All Adult Leaders also must complete the Archdiocesan certification process, the requirements for which can be found by clicking on this Coaches' Certification link.
IMPORTANT NOTE REGARDING ALL-SPORTS REGISTRATION COVERAGE:
All-Sports Registration covers ONLY Grades 3-8 Fall Soccer/Winter Basketball/Spring Baseball-Softball or Grades 1-2 Fall/Spring Soccer.
The St. Jane CYO’s Fall/Spring Kindergarten Soccer Clinics, Winter Basketball Clinic (Grades 1-2), Spring T-Ball Clinic (Grades 1-2), and Spring Track Program (Grade K-8) have separate registration processes and/or fees and ARE NOT covered under the All-Sports registration program.
2. HOW TO REGISTER INITIALLY: See Instructions in Item 7.a below.
3. ANNUAL REGISTRATION UPDATE: At the end of each sports year (approximately May 1), the Archdiocesan CYO will "zero out" the grade listings for all participants currently in the system. For a child to be eligible to be placed on a roster for the next sports year, his/her parent/guardian must go back into the Archdiocesan CYO on-line system using the child’s assigned Username and Password, access Step 1 of the registration process to enter the child’s grade for the next sports year, update any other registration information (e.g., change in home or e-mail address), and review and accept the Spectator's Code of Conduct. [Note: If the grade update has been done correctly, the grade will appear on the summary information form. Submitting a summary information form without a grade or with a handwritten grade will delay completing a player's registration.] See additional instructions for registering in Item 7.a below.
Can't Locate a Child's Username/Password: Go to www.washcyosignup.com/forgotPassword.cfm, enter the information requested, and the system will send the child's username and password to the e-mail address you provided when you registered (usually takes less than a minute).
4. WHERE TO REGISTER ON-LINE: You can register on a computer from home or work if you have internet and e-mail connections. Additionally, at designated on-line registration form turn-in sessions, the St. Jane CYO will have computers with internet access available for those needing to register.
5. GETTING YOUR ON-LINE REGISTRATION FORM AND FEE PAYMENT TO THE ST. JANE CYO:
a. INDIVIDUAL SPORTS REGISTRANTS: To register for the first individual sport during a school term, a child’s parent/guardian needs to access, print, sign, and date the on-line "summary information" form (which has the headings "CYO On-Line Registration 200X-1X Program Year" and "Your Registration is Complete!") and return both the form and the appropriate fee to the St. Jane CYO. Once you have provided the signed/dated form to the St. Jane CYO for the first Archdiocesan CYO sport during a school term (e.g., fall soccer), to register for another Archdiocesan CYO sport that same school term (e.g., winter basketball) you do not need to provide the form again, but can simply mail a registration fee check or bring it to a form/fee turn-in session. Please make sure the check's memo line lists the names, grades, and sports covered by the check so we will know what players are being registered.
The on-line registration form and/or the applicable fee should be timely returned (see Item 6 below) to the St. Jane CYO either:
(1) at a scheduled registration form turn-in session; or
(2) by mail to Paul Bollwerk, 9506 Kingsley Ave., Bethesda, MD 20814-1637.
Please DO NOT Send Registration Materials for Archdiocesan CYO Sports (see listing in Item 1 above) through either St. Jane School or Rectory.
b. ALL-SPORTS REGISTRANTS: All-Sports Registration for Grades 3-8 Fall Soccer/Winter Basketball/Spring Baseball or Softball or Grades 1-2 Fall/Spring Soccer is offered at the beginning of each sports year at the same time as registration for Fall Soccer. As is the case with an individual sports registration, at the time of registration both the registration form and the fee should be returned to the St. Jane CYO either:
(1) at a scheduled registration form turn-in session; or
(2) by mail to Paul Bollwerk, 9506 Kingsley Ave., Bethesda, MD 20814-1637.
Please Do Not Send Registration Materials for Archdiocesan CYO Sports (see listing in Item 1 above) through St. Jane School or Rectory.
Once a child is registered for All-Sports for the school year, a child need not register again during that school year for any of those sports. You may receive an e-mail acknowledging the registration that you can save/print for future reference. (Registration for the St. Jane CYO kindergarten soccer/Grades 1-2 basketball/Grades 1-2 T-ball clinics and Grades K-8 track program is separate. See item 1 above.)
c. Registration Fee Payment: Checks should be made payable to "DeChantal CYO." Multi-player/family checks are acceptable for registration fee payments. Please include player names, grades, and sports on the check memo line so it is clear what the check covers. (Warning: Providing an on-line registration form without a fee payment or a fee payment without an on-line registration form will not complete the registration process and normally will result in the form or fee being returned and/or deemed subject to the late fee.)

6. LATE FEE: To be assured of a place on a CYO team, a child’s on-line registration form and fee must be returned during a form collection session or postmarked no later than the date of the last form collection session. Late registrations will be accepted on a space-available basis, but a $25.00 late fee may apply per the instructions given for the particular sport.
